Checking Pannónia Scholarship Eligibility Before Starting the Mobility

  • The student must hold an active enrolment status in a BSc, MSc, or doctoral programme for the entire duration of the mobility.
  • The student must have completed the required number of semesters appropriate to the type of mobility (at least one completed semester) https://ipc.sze.hu/i-wish-to-apply-pannonia
  • The selected host institution must be suitable for the student’s programme, as courses completed abroad must be recognised in the home studies. The Programme Supervisor and the departmental coordinator can provide assistance. Contact details:

1. Notification of Pannónia Scholarship Recipients
Successful applicants will be notified via email, and the official results of the application can be found on the website.


2. Finding a Short-Term Programme
You must find a host institution willing to receive you during the planned period. Possible forms of mobility include: active participation in a conference, summer school, or intensive course.
(Active conference participation means that the student gives a presentation, leads a workshop, or otherwise contributes professionally to the event. The activity must be related to the student’s studies. Passive attendance, i.e. as a listener only, is not eligible for support.)

We recommend first selecting the destination country and host institution. Please search the host institution’s website for a short programme that is professionally relevant to your studies. The knowledge acquired during the programme must be transferable into your curriculum at Széchenyi István University, meaning it must be eligible for academic recognition. Consult your faculty coordinator or the lecturer organising the programme to confirm the content and professional suitability.

The data provided in the application (such as the destination country or semester of mobility) can be modified. 


3. Application to the Host Institution

3.1 Individual Application
Complete the individual online application process based on the requirements of the chosen short-term programme, following the host’s instructions and respecting all deadlines. If your application is successful, you may start arranging travel and accommodation.


3.2 Group Application
For group short-term programmes, a contact person must be appointed to coordinate the participating students. The contact person will manage the group application process for the short-term programme.


4. Submission of Learning Agreement for Approval – Before Departure
The completed Learning Agreement must be reviewed by the faculty coordinator to ensure that the programme is compatible with the student’s curriculum. Based on this consultation, the International Directorate will decide whether the programme is eligible for funding under the Pannónia Scholarship.

5. Obtaining Documents Required for the Scholarship Agreement
The following documents must be completed and signed.

5.1 Authorization by Programme Supervisor and Departmental Coordinator
The Authorization document must be signed by the Programme Supervisor and the SZE Departmental Coordinator.

5.2 Completion and Signing of the Learning Agreement (LA)

5.3 Personal, Banking, and Insurance Information

6. Credit Recognition / Credit Transfer

Consult with your lecturers or programme supervisor about how the subjects and knowledge acquired abroad can be recognised at your home institution (e.g. replacing a required paper, gaining extra points in a mid-term exam, or full recognition of a course with the grade obtained abroad recorded in Neptun by the lecturer).

If you encounter difficulties in having a course completed abroad recognised by Széchenyi István University, please discuss the matter with your programme supervisor.

If the subject serving as the basis for your request is not listed in the equivalence table, the Credit Recognition Board (KRB) will decide on the transfer based on the submitted documents and the opinion of the relevant department or programme director. If approved, the table will be updated and published. Further details can be found in the current Academic and Examination Regulations (TVSZ).


7. Preparation of the Scholarship Agreement

The scholarship agreement for the awarded grant is signed at the International Office (ÚT 107). The following documents must be submitted:

  • The Learning Agreement signed by both institutions

  • Signed approval from the programme supervisor or  departmental coordinator

  • Data form for the agreement: please complete the following form with your personal and academic details.

Once the above documents have been submitted within the deadline, the scholarship agreement will be prepared.

The student must sign the grant agreement, after which it will be signed by the institution. Payment of the scholarship will be made once all parties have signed the agreement.


8. Payment of the Scholarship

In the case of short-term mobility, the payment to the Participant is made according to the following schedule:

  • First instalment: 90% of the total grant amount is transferred after the contract has been signed by all three parties.

  • Second instalment: the remaining 10% of the grant amount is transferred within 15 days after the submission of the final documents.

 


8.1 Additional Scholarship

  • Travel Days Allowance: Support can be requested for a maximum of two travel days – one day before the start of the programme and one day after its completion. To claim this, travel documents (e.g. bus ticket, train ticket, boarding pass) must be submitted.

  • Pannónia Correspondent Scholarship: A new opportunity for students about to depart or currently on mobility. Successful applicants will be required to showcase their Pannónia mobility through social media posts. 9. Departure to the Host Institution
After the mobility begins, the student must submit the Letter of Arrival, which confirms their arrival at the host institution.


10. In Case of Force Majeure
If a force majeure event occurs during the project (unavoidable external circumstances, e.g., natural disaster, health emergency, political conflict), the student must immediately notify Széchenyi István University in an official letter, describing the nature of the event, expected duration, and anticipated impact. Requests related to force majeure situations are considered on a case-by-case basis by the University.

If a participant interrupts their mobility due to a force maior event and returns home earlier than planned, thereby failing to meet the required minimum mobility period, a detailed request must be submitted to the institutional coordinator. This request must include supporting documentation and proof of the completed duration.

The University seeks to resolve any issues arising from such situations.

10. Closing the Mobility
To close the mobility, the following documents must be submitted:

  • Letter of Participation signed by the host institution (this document confirms the study period)

  • Certificate/Transcript of Records (this document lists completed courses with results and credits)

  • Credit Recognition Document (confirmation of domestic credit recognition)

  • Online Report (the link will be sent by email at the end of the mobility)

  • Individual Experience Report (submitted as a text document via separate email, optional)

  • Closure of Supplementary Support


 

10. Credit Recognition / Transfer
All periods of study abroad must form part of the student’s programme aimed at obtaining a degree within any study cycle. Activities undertaken during the mobility must be recognised by the sending institution and fully mapped to the curriculum, proportionate to the mobility period.

The Credit Recognition Form can assist with potential issues, for example if an 8-credit foreign course needs to be recognised. The form must be completed and signed by the responsible lecturer, Programme Supervisor, or exchange departmental coordinator.

Evaluation of Credit Transfer Requests
If the credit transfer is based on a course not yet included in the programme’s equivalence table, the Curriculum Committee (KRB) will decide based on attached documents and the opinion of the relevant department or Programme Supervisor for courses completed abroad. Upon approval, the KRB Secretary will update and publish the equivalence table.

10.2 Individual or Visual Report for Website or Publication
Reports may be submitted in any format, with or without images. Submissions can be in Word, PowerPoint, blog, or video format.

Reports may cover any topics that participants wish to share with future outgoing students. The goal is to provide inspiration and useful information for interested parties.


10.3 Mandatory Online Report
Participants in the Pannónia Scholarship Programme must complete the online student report upon returning.
If a student participated in multiple mobility periods, a separate report must be completed for each mobility.


10.4 Closure of Supplementary Support
Settlement of travel support (against receipts) at the Student Union (EHÖK).


Please note that failure to close the mobility constitutes a breach of the scholarship agreement and may result in sanctions (e.g., repayment of the full scholarship, withholding of the diploma).
