Pannonia “To dos” for students on study scholarships
Before the mobility

On the host institution's website:
- Check deadlines.
- Study the current course list (or request it from the host institution).
Application to the host institution:
- Complete the online application process: follow the instructions provided in the guide or as per the information provided by the partner, ensuring adherence to the deadlines.
Questions for the host institution:

- Accommodation
- Course list (if not available on the website or if unclear)
- Exact arrival and departure dates
Following a successful application:
- Complete and obtain the necessary signatures for the approval form from the programme leader and departmental coordinator. (The template can be found under the "Essential Documents" section.)
- Complete and obtain the necessary signatures for the Learning Agreement (LA). Please read the Learning Agreement completion guide! (The template can be found under the "Essential Documents" section.)

Domestic studies:
- Enrol for the current semester.
- Deferral or taking a leave of absence is not allowed.
- Arrange a special academic schedule (if needed) at the Registrar's Office in a timely manner! For more information on the application process and deadlines, please refer to TO/NEPTUN.
Before travel (approximately 1 month prior):
- Apply for the European Health Insurance Card and/or arrange health-accident-luggage insurance.
- Submit a one-time travel grant application to EHÖK (AKIK – Új-Tudástér, 1st floor).
Concluding the scholarship agreement for the awarded grant requires submission of the following documents:
- The Learning Agreement signed by both institutions.
- The signed approval form from the Programme Supervisor/Departmental Coordinator.
- The online completed data sheet (the data sheet is currently under revision; your patience is appreciated).
The disbursement of the scholarship amount can only begin after the agreement has been signed.
The scholarship will be disbursed by the university in two instalments:
- 90% of the amount upon signing the agreement.
- The remaining 10% upon the completion of the mobility.
During the mobility
In case of changes (e.g., course modifications/extensions), it is necessary to consult with the Department Coordinator.
Any changes must be indicated on the "Exceptional changes " section of the Learning Agreement. The signed Learning Agreement must then be submitted to the NPAK.

If any issues arise, please notify the NPAK immediately.
In the event of unforeseen circumstances that hinder the acquisition of the minimum 15 credits, please inform your Department Coordinator. as soon as possible. Their contact details can be found here: Department Coordinator. https://ipc.sze.hu/contacts

After the mobility
Required Documents:
- The "Letter of Participation" must be signed by the host institution (this document verifies the study period).
- Submission of the "Certificate/Transcript of Records" (this document includes the completed courses with obtained results and credits).
The Transcript of Records is typically issued by the host institution using their own template. If no such template is available, the "After the Mobility" section of the Learning Agreement will suffice as the Transcript, and this can be used.
- Submission of the travel support claim to the EHÖK, based on the travel invoice.
If you were unable to obtain the minimum of 15 credits, please proceed as follows:
- Step 1: Immediately report the issue to NPAK via email at exchange@sze.hu.
- Step 2: Immediately report the issue to the Departmental Coordinator, whose contact details can be found here: Departmental Coordinators. https://ipc.sze.hu/contacts
The Departmental Coordinator may, depending on the situation and at their discretion, impose the following measures:
- Request for proof of active class attendance.
- Submission of summary studies on the content of the respective course.
- Submission of a summary report on the international mobility.
- Active volunteer student work to promote the mobility programme and assist in the assimilation of international students.
