When making contact with the Host Institution, the mobility plan and the exact dates of the mobility must be agreed upon with the host colleague.
All the necessary information can be found in the Mobility Agreement document.
The duration of the mobility may exceed the minimum required period; however, this does not automatically entitle the participant to an increased grant.
The awarded scholarship should preferably be used in the country of the host institution. It is possible to change the host institution, but the amount of the scholarship will not be adjusted automatically.

Mobility Agreement – Completion Guide:
- Planned period of the mobility: you are required to indicate the exact start and end dates of your stay
- Duration of the mobility (days): usually 5 or less working days (granted days)
- Type of mobility: Training
- Receiving Institution: all necessary data should be provided
- Language of instruction: this field is mandatory. Please underline the relevant type of mobility

Please send the fully completed and signed Mobility Agreement, bearing the signatures of all parties, to the designated coordinator. (exchange@sze.hu)
The Mobility Agreement, signed by all three parties, is to be submitted to the International Office upon completion of the mobility.
The required signatures are as follows:
- The staff member: name and signature of the outgoing participant
- The sending Institution
Name of the responsible person: the immediate supervisor of the outgoing staff member (at SZE) - The receiving Institution
Name of the responsible person: signature from the host institution

To prepare the contract, you are required to submit two additional documents and complete the form below with your personal data.

According to university regulations, a Travel Authorization must be prepared and signed by the immediate supervisor.The support provided by the university is a scholarship, which does not require detailed financial reporting. It is the responsibility of the participating staff member to arrange all necessary travel for the mobility (including accommodation, mode of travel, and insurance), for which the scholarship funds may be used.The Travel Authorization form must be completed with personal and mobility-related information. For travel services, only the total budget amount (scholarship sum) needs to be indicated; there is no need to itemize the requested travel services.
- Health, Accident, and Liability Insurance
For the conclusion of the contract, a copy of the insurance policy must be submitted, covering the outgoing participant for the entire duration and location of the mobility. The insurance must include health, accident, and liability coverage.
Additionally, the submission of an insurance information document is mandatory, which itemizes the components of the insurance and explicitly includes the aforementioned coverages.

- The contract can only be signed in person at office ÚT 107.

Please bring the original, duly signed Travel Authorisation form (signed by both you and your supervisor) when you come to sign the contract.
- The scholarship will be paid in one instalment to the bank account specified by the beneficiary, after the scholarship agreement has been signed.
- The outgoing participant is required to prepare a brief summary of the mobility and the host institution. This should cover study opportunities, programmes, credit recognition, student accommodation, academic calendar, etc.) as well as include details on the implementation of activities outlined in the mobility agreement.
The summary will be published on our website.
The report must be signed by the participant. - Requesting an original certificate of completion from the host institution is mandatory for all mobilities.

You may also use another template, provided it includes the following information:

- Name of the host institution
- Name of the participating staff member
- Name and position of the signatory
- Duration of the training period (start and end dates) – this must not be shorter than the number of days required for the grant calculation
- Signature and official stamp of the host institution
If the host institution certifies a shorter period than originally planned, the grant must be reimbursed for the remaining days.
The following documents are required to be submitted:
- The Certificate of Mobility must be submitted in its original copy

The host institution’s own form is also accepted, provided it includes all the required information. - The Mobility Agreement, signed by all three parties, is to be submitted to the International Office upon completion of the mobility.
- Mobility Report
A short online questionnaire will be sent to all participants via email, which must be completed.
The report must be signed by the participant. - At least one proof of completion of the mobility period must be submitted (e.g., accommodation receipt, plane, train, or bus ticket, etc.)
