Pannónia Traineeship Mobility
Important Information for Outgoing Students

Checking Pannónia Scholarship Eligibility Before Starting the Mobility:
- The student must hold an active enrolment status in a BSc, MSc, or doctoral programme for the entire duration of the mobility.
- The student must have completed the required number of semesters appropriate to the type of mobility (at least one completed semester) https://ipc.sze.hu/i-wish-to-apply-pannonia
- The selected host institution must be suitable for the student’s programme, as courses completed abroad must be recognised in the home studies. The Programme Supervisor and the departmental coordinator can provide assistance. Contact details:
https://ipc.sze.hu/contacts - The traineeship mobility period must be at least 2 months (the Pannónia Scholarship cannot be used for 4 or 6 week internships).
For post graduate traineeships:

- The application and selection process must take place while the student still holds an active student status, during the year of graduation.
- The mobility period must then be completed within one year from the date of graduation (absolutory).

For Home Studies:
- Enrol in the current semester.
- Deferral or suspension is not permitted.
- Arrange a Sepcial Study Plan (if necessary) with the Registrar’s Office in time.

- Review the current course list (or request it from the host institution).
1. Notification of Pannónia Scholarship Recipients
Successful applicants will be notified via email, and the official results of the application can be found on the website.
2. Searching for a Traineeship Placement
A host company or institution must be identified that aligns with the student’s field of study. It is recommended that the student consult their lecturer or programme supervisor and make use of personal contacts.

3. Confirmation from the Host Company/Institution
The host institution or company will confirm whether they are able to accommodate the student for the completion of the traineeship.
4. Submission of the Mobility Agreement for Consultation
The completed Mobility Agreement must be reviewed with the departmental coordinator to ensure the programme corresponds to the student’s curriculum.
5. Reduced Study Plan
If necessary, please request the approval of a Reduced Study Plan through the Neptun system via the Registrar’s Office.

6. Obtaining Documents Required for the Scholarship Agreement
The following documents must be completed and signed. It is recommended to complete this as early as possible, ideally 1–2 months before departure.

6.1 Approval by Programme Supervisor and Departmental Coordinator
The Approval document must be signed by the Programme Supervisor and the SZE Departmental Coordinator.

6.2 Completion and Signing of the Mobility Agreement (MA)

7. Preparation of the Scholarship Contract
Based on the submitted documents, the International Directorate will prepare the scholarship contract. For the 2025/26 academic year, scholarship contracts may be concluded from 21 August 2025.
7.1 Prior to Departure (approximately 1 month in advance)

European Health Insurance Card and/or sickness-accident-luggage insurance
-
Liability insurance for the traineeship period, if not provided by the host company
Information regarding compulsory accident and liability insurance for students undertaking a traineeship abroad:
European Health Insurance Card (blue plastic card):
It is sufficient to attach a scanned copy of the page containing personal data.
The card can be obtained in Győr at the National Health Insurance Fund (Győr, Szabolcska Mihály u. 1.)
Foreign citizens may receive an EU health insurance card if they have valid Hungarian state health insurance (TAJ card).
If a TAJ card is not available, please arrange private accident/health insurance.
In some cases, the student’s bank card may include insurance. In such cases, the student must request confirmation from the bank or download it from the bank’s website, containing: insured person’s name, insured period (must cover the entire mobility), coverage (including accident + appropriate liability insurance), and policy number.
Liability insurance:
If the host institution provides insurance for the student and marks this in Table C of the Training Agreement before mobility (X in ‘Liability insurance yes’), no separate certificate or policy is required.
If the student needs to arrange their own insurance in Hungary, it is recommended to consult available insurer offers online.

Residence permit:
In the case of postgraduate traineeship mobility, it is the student’s responsibility to contact the local immigration office to obtain a valid residence permit. Please note that the scholarship is conditional upon holding a valid residence permit for the entire duration of the mobility period.
8. Departure to the Host Institution
After the mobility begins, the student must submit the Letter of Arrival, which confirms their arrival at the host institution.
9. Scholarship Payment
At the International Office (ÚT 107), the scholarship contract is concluded based on the awarded scholarship, which requires submission of the following documents:

Mobility Agreement signed by both institutions

Signed programme supervisor/departmental coordinator approval

Once the above documents are submitted within the deadline, the scholarship contract will be prepared.
The student must sign the scholarship contract, after which institutional signatures will be added.
9.1 Scholarship Disbursement Procedure
For traineeship mobility (for EEA student), the scholarship is paid in three instalments:

First month’s amount upon signing the contract

Up to 90% upon arrival with submission of the Letter of Arrival

Remaining 10% at the end of the mobility
For non EEA student traineeship and post graduate traineeship, the scholarship is paid in multiple instalments:

The scholarship is disbursed in instalments against the submitted confirmation. Upon presentation of a minimum 30-day certificate (Letter of Participation), the scholarship is paid retroactively.
9.2 Supplementary Funding

- A new opportunity is available to apply for the Pannónia Reporter Scholarship, open to students about to depart or currently on mobility. 10. Changes During the Mobility
If any questions, uncertainties, or unforeseen circumstances arise during the mobility, please inform us as soon as possible at exchange@sze.hu so that we are aware of the situation and can take appropriate action if necessary.
Any changes (e.g., course substitutions, extensions) must be discussed with the departmental coordinator, and the Exceptional Changes section of the Mobility Agreement must be completed and signed by both the host and sending institutions.
Changes must be recorded on the Exceptional Changes to the Mobility Agreement form, and the signed MA must be submitted to the International Directorate. (The template is available under the Essential documents section.) Additional rows can be added to the table if necessary.
10.1 In Case of Force majeure
If a force majeure event occurs during the project (unavoidable external circumstances, e.g., natural disaster, health emergency, political conflict), the student must immediately notify Széchenyi István University in an official letter, describing the nature of the event, expected duration, and anticipated impact. Requests related to force majeure situations are considered on a case-by-case basis by the University.
If a participant interrupts their mobility due to a force maior event and returns home earlier than planned, thereby failing to meet the required minimum mobility period, a detailed request must be submitted to the institutional coordinator. This request must include supporting documentation and proof of the completed duration.
